Push-Button PDF from Microsoft Publisher
(Assuming you are using Microsoft Publisher 2002 or above, Acrobat Distiller 7.x, and have installed the Print Pelican Magazine Printing PDF Kit for Windows XP)
Background
After you install the Adobe Acrobat 7.x, an “Adobe PDF” item is placed in the main menu bar of Microsoft applications like Publisher and Word. This new menu item is a quick, simple and dependable gateway for making print-ready PDF files from your Publisher or Word files. In this article, we will focus on working with a Publisher document. The same technique is applied for Word.
There are a few preparatory steps to perform before you save your file to PDF:
- Prepare your Publisher document for commercial printing-: Go to Tools/Commercial Printing Tools/Color Printing in Publisher, and select Process colors (CMYK)” or another choice according to the colors in your job but make sure you don’t use “Composite RGB”.
- Imported images must have sufficient resolution for high-quality printing-: Your imported images must have enough resolution for getting high-quality prints. You can check the images for the correct resolution in Adobe Photoshop or Corel PhotoPaint. At 100% final printed size, the best resolution is at 300 ppi (pixels per inch).
- Setting up your document so that it prints with the crop marks and bleeds-: Go to File/Print. In the drop-down list, choose “Adobe PDF” for the Printer Name. Select “Print full-resolution linked graphics”, in “Advanced Printer Settings”, “Use only publication fonts”, “Crop marks”, “Registration marks”, “Job information” and “Allow bleeds”. Make sure that “Print composite” is selected under “Separations”. To save these settings, click “OK”, “OK” and “Cancel”.
- You’ll now set up your document so that the page prints on a larger paper size to allow the crop marks and bleed-: Go to File/Page Setup. From the Printer Name list choose “Adobe PDF” in the “Printer & Paper” tab option. Click on the “Properties” button. Choose “Creo PDF Pages” from the list at the “Default Settings”. Click on “Add” at the “Adobe PDF Page Size”. Type a name for a custom page size in the “Add Custom Paper Size” window. Fill in the dimensions in the “Width” and “Height” areas. To add this new page size to the list click on “Add/Modify”. Choose the new page size in the “Add Custom Paper Size” window. To save these settings click on OK.
The custom page sizes have to be set up once only, in order to be available to all your future Publisher documents.
Hurray!!You’re now ready to make a push-button PDF file from the Publisher. The process below will guide you how to make a push-button PDF file from Publisher that will meet the requirements of Print Pelican Magazine Printing
- Click on the “Adobe PDF” menu item.
- Click on “Change Conversion Settings”.
- Choose “Creo PDF Pages”, from the “Conversion Settings” list and then click on OK.
- Click on the “Advanced Settings” button.
- For “Compatibility” option, choose “Acrobat 5.0 (PDF 1.4)”. Click OK save these settings.
- Click on the “Adobe PDF” menu item again and choose “Convert to Adobe PDF”.
- Name the PDF file and browse to the folder where you want to save the file.
- Now your PDF file will open in Acrobat. Check it and make sure that all content is there along with the fonts and images. The entire page must be enclosed within the larger “custom paper size” and make sure that you can observe the crop and registration marks.
- Congratulations! You have successfully created a print-ready PDF file according to the Print Pelican Magazine Printing requirements.
